Job Description:

Responsibilities:
• Performs reception duties at entrance to Northrop Grumman’s Hill AFB office; welcomes visitors, keeps visitor log sheet, maintains badging, etc
• Initiator of all government access forms, maintaining standards to ensure forms are filled out properly and follow the government process
• Proactively manage calendars for assigned staff. Prioritize and schedule meetings, handle quick turn requests, monitor and act upon upcoming needs, and resolve frequent schedule conflicts
• Support reporting and presentation requirements. Collect and summarize data, prepare draft documents, plan and schedule reviews, and facilitate complete and timely submissions
• Make domestic travel arrangements and process expense reports in a timely manner for assigned staff
• Attend staff meetings, publish agendas and follow-up on action items
• Arrange and execute support for a variety of internal and external on-site meetings, including conference room reservations and catering
• Helps maintain program tasks in the Jira platform and digital files on Microsoft Teams
• Provides secretary duties for our Configuration Control Board (CCB)
• Orders and maintains office supplies


Basic Qualifications for Administrative Assistant 3:
• High School diploma or equivalent and a minimum of 4 years professional experience as an Administrative Assistant or performing administrative work
• Proficient in MS Office Suite (Word, Excel, Outlook and PowerPoint)
• Ability to obtain and maintain a DoD Secret Security Clearance within a reasonable period of time as determined by the needs of the business

• Strong interpersonal, communication and organizational skills
• Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities
• Strong ability to multi-task with competing priorities in a positive manner
• Experience in planning, coordinating and overseeing catering for corporate meetings
• Strong proofreading and document preparation skills
• Ability to exercise good judgment while demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through
• Demonstrates outstanding verbal, interpersonal and written communication skills
• Familiarity with Northrop Grumman (NG) policies and procedures
